The Problem
Renjoy was a growing Airbnb management company. Three founders pooling their properties and taking on new clients. Short-term rentals generate an enormous amount of data per property (maintenance schedules, thermostat locations, filter changes, reservations, reviews, employee time logs) and no off-the-shelf tool could capture it at the resolution they needed. Data was scattered across multiple SaaS products with no single source of truth.

The Problem
Every project involves pre-production, production, and post-production, with freelance crew, expenses, client briefs, and invoicing all needing to be tracked. They needed one system to manage the full lifecycle instead of juggling disconnected tools.
What We Built
Full project management system in Airtable integrated with HubSpot. Closed deals auto-create projects
Production pipeline: briefs, task tracking, timelines, resource planning, and expense logging
Internal creative database: freelancer profiles, payment tracking, and persistent notes
AI-powered invoicing: upload a Bill.com PDF and AI extracts data, creates the record, and links it to the right project(s)
Full financial tracking: AR (invoices, payment status, overdue alerts) and AP (crew payments, project expenses)
Client-level analytics: revenue per client, project profitability, and overall business health
The Impact
Interlude went from managing projects in isolation to seeing the full financial picture of their business: per project, per client, and company-wide. The AI invoicing alone eliminated double data entry between their billing tool and operations system.
